Outeniqua Charter Service - Terms and Conditions

Services Offered

Outeniqua Charter Services offers both scheduled passenger transport on set routes and private charter services for exclusive tours. A trailer is available to accommodate additional luggage. Passengers are kindly requested to notify us in advance if more than three bags are to be packed.

Bookings

  • Bookings can be made via our website, WhatsApp, or phone.
  • All bookings are confirmed only once payment has been received. Payment can be made via PayFast or EFT.
  • Seats are allocated on a first-come, first-served basis.
  • Special arrangements (e.g., reserved seating or group bookings) must be discussed with our ticket office and may be subject to an additional fee.

Cancellations & Refunds

  • A ticket can be cancelled and a refund issued according to the following policy:
    • Within 1 hour of purchase: Full refund, no cancellation fee.
    • 48+ hours before departure: 10% cancellation fee.
    • 24–48 hours before departure: 15% cancellation fee.
    • 12–24 hours before departure: 25% cancellation fee.
  • No changes or cancellations are accepted within 12 hours of the scheduled departure.
  • No refunds will be issued for missed trips or no-shows.
  • No changes can be made within 15 minutes of the scheduled departure time or after departure. These tickets are considered forfeited with a 100% cancellation fee.
  • Changes to a booking require a new reservation. Seat availability is not guaranteed.

Timetables and Schedules

Outeniqua Charter Services strives to adhere to all schedules. However, departure and arrival times are not guaranteed. We accept no responsibility for delays or cancellations due to unforeseen circumstances such as road closures, weather, or traffic conditions.

Right to Cancel or Change Services

We reserve the right to:

  • Cancel or reschedule any service without prior notice.
  • Modify routes or stops as necessary for safety or operational efficiency.

Outeniqua Charter Services is not liable for any loss or damage incurred due to such changes or cancellations.

Passenger Responsibilities

  • All passengers must be at the designated pickup point at least 30 minutes before departure.
  • The vehicle may depart up to 15 minutes earlier than the scheduled time. No refunds will be given for missed departures due to lateness.
  • Your ID number is your ticket number. You must present identification upon check-in.
  • Passengers must remain seated while the vehicle is in motion.
  • It is strictly prohibited to attempt to open the passenger doors while the vehicle is moving.
  • Do not exit the vehicle without the permission of the driver or designated staff.

Luggage Policy

  • Luggage is transported at the owner’s risk. Please ensure your luggage is insured.
  • Total luggage allowance:
    • 1 large suitcase + 2 small suitcases or
    • 3 medium-sized suitcases + small hand luggage (max 25kg total checked luggage, 7kg hand luggage).
  • Additional luggage is only permitted with prior arrangement.
  • Bicycles, surfboards, and wheelchairs can be transported with advance notice.
  • All luggage must be clearly marked with the owner’s details.

Prohibited Items and Conduct

  • Strictly no alcohol, illegal substances, or smoking is allowed on any vehicle.
  • Passengers under the influence of alcohol or drugs may be refused entry without refund.
  • We do not allow pets on board.

Children and Unaccompanied Minors

  • There are no age restrictions for passengers.
  • Minors traveling alone must have a signed indemnity form from a parent or legal guardian.

Food and Drinks

Food and non-alcoholic drinks are permitted on board, provided they do not create a mess or inconvenience for other passengers.

Liability Disclaimer

All persons entering an Outeniqua Charter Services vehicle or property do so entirely at their own risk.

Outeniqua Charter Services, its directors, officers, employees, or agents shall not be held liable for:

  • Loss of life or bodily injury,
  • Damage to or loss of property,
  • Any direct, indirect, or consequential damages, arising from use of its services or facilities, regardless of cause.

Legal Compliance

All services are operated under valid transport permits and comply with applicable South African road and safety regulations.
